Write to us through the form

The form on this page is the way to reach us. We reply by email to the address you give, with questions or with a first day plan. Here is what helps that first reply fit your party.

How to reach us

Send the form at the bottom of this page, or on any other page of the site; they all reach the same place. The five fields in the main part are enough to start: which trip, your name, your email, when you plan to travel and how many are travelling. The optional section has room for the things that shape a gentle trip: who is in the party, children's ages, mobility and naps.

We reply by email to the address you give. If you have not heard from us, check your spam folder; replies to a new address sometimes land there. We do not take bookings by phone, because every detail, from child seats to the lunch menu, needs to be written down.

What makes the first reply useful

  • Who is travelling. Adults, children with their ages and, for under-tens, their heights, and anyone over seventy.
  • How far everyone walks comfortably, and whether anyone uses a cane, walker or wheelchair.
  • Steps that are a problem, and whether anyone is uneasy on small boats.
  • Nap times for small children, so we can put the drive in the right place.
  • Diet and allergies, especially for the cooking day.
  • Where you are staying in Ho Chi Minh City, or wherever the trip will start.

If you have none of this yet, send what you have. A month and the number of travellers is enough to begin.

First messages that work

Some examples of the kind of message that lets us reply with a plan straight away:

  • "Two adults and two children, aged 3 and 6, heights about 95 cm and 115 cm. One free day in late January. The three-year-old naps after lunch. Happy to skip the boat."
  • "Three of us, including my father, 81, who walks with a cane for ten minutes at a time. Two days in February. He needs a ground-floor room or a lift."
  • "Couple, early July, two days. We want fruit in the orchards and do not mind the heat. No 5 am starts."

What happens next

  1. We read your message and check the car, child seats, boats and, for two-day trips, hotels for your dates.
  2. If something is unclear, we reply with questions first, by email.
  3. We send a day plan with its ease table and a price for the whole party.
  4. You change what you want; each version is priced again in full.
  5. When you are ready, we confirm in writing, with payment instructions on the confirmation.

The how to book page covers confirmation, weather and changes, and the pricing page explains how a quote is built.

On the day of your trip

Your confirmation gives the name of your guide, the pick-up time and place, and how to reach the guide on the day. The guide arrives at your hotel lobby before the pick-up time; if you are staying outside central Ho Chi Minh City, the time on your confirmation already allows for the extra distance.

If plans change on the morning itself, for example a child is unwell, tell your guide. A private trip can start later, shorten, or leave out the boat; the confirmation explains what can be refunded if the trip does not go ahead.

What we keep, and for how long

We use what you write in the form to plan and run your trip: names, ages and heights for child seats, mobility notes for choosing stops and rooms, and diet for the lunches. We pass to each supplier only what they need, such as the number of seats to a car company or a dietary note to a cook. The privacy policy sets out how long we keep it and how to ask us to delete it.

Requests we cannot help with

So that nobody waits for an answer that will not fit, these are the requests we usually decline: trips of five days or more; groups of more than about ten; cycling, kayaking or trekking days; nights in homestays; overnight boats; and destinations beyond about three and a half hours from Ho Chi Minh City, such as Chau Doc or Ca Mau. We will still reply, and say plainly that another kind of company will serve you better.

We are also not a booking service for hotels or buses on their own. Every trip we plan includes the car, the guide and the day plan; that is what the ease table describes.

Payment safety and your data

Do not send card details by email. How to pay is set out on your written confirmation and nowhere else. What the form collects and how it is used is explained in the privacy policy.

Before you pay

If a message asks you to pay to an account that is not shown on your written confirmation, do not pay. Send the form and ask us.

Common questions

Questions travellers ask most

Is there a phone number or an office to visit?

Not on this site. We work by form and email so that everything about your trip is in writing.

Can I ask a question before choosing a trip?

Yes. Choose "Something gentle, advise me" in the form and write your question in the notes.

Do you reply in languages other than English?

We plan and write in English. Short messages in other languages are welcome; we reply in English.
